Sales Coordinator – Motivate Media Group – Abu Dhabi
We are looking for a detail-oriented and proactive Sales Coordinator to support our sales team and senior management in driving operational efficiency, managing client communication, and coordinating key events and activities. The ideal candidate will excel in organization, communication, and multitasking, with a strong ability to work in a fast-paced, sales-driven environment.
Key Responsibilities
- Manage communication with clients, vendors, and partners, ensuring timely follow-ups.
- Prepare sales documents, presentations, proposals, and reports.
- Ensure booking orders are accurate and aligned with sales projections.
- Serve as a key point of contact for internal and external stakeholders.
- Respond to inquiries promptly and professionally.
- Manage schedules, meetings, and appointments for senior sales staff.
- Prepare and update correspondence and sales materials
- Maintain organized digital and physical filing systems.
- Assist with reports, data entry, research, SAP RFQs, and Salesforce entries.
- Support invoicing, expenses, POs, budget tracking, and payment follow-ups.
- Manage office supplies and coordinate equipment maintenance.
- Ensure a clean, organized, and efficient office environment.
- Help plan and organize events, awards, and conferences.
- Handle logistics such as venue bookings, catering, registrations, and materials.
- Provide post-event reports and feedback summaries.
- Handle sensitive information with confidentiality and integrity.
- Adapt quickly to new tools and processes.
- Follow up on meeting action items to ensure timely completion.
Qualifications & Experience
- High school diploma or equivalent; additional qualifications in administration, business, or sales support are an asset.
- Proven experience as a Sales Coordinator, Administrative Assistant, or similar support role.
- Strong understanding of office management processes and basic accounting principles.
- Excellent organizational, communication, and time-management skills.
- Proficiency in MS Office and familiarity with CRM or ERP systems (Salesforce, SAP, etc.).
